About the role

We are seeking an organised and proactive Administration Coordinator to provide high-level administrative and operational support to The Education Hub. The Education Hub is a dynamic, interprofessional team delivering education and training programs across the Melbourne Children’s Campus and to paediatric healthcare staff across Victoria.

 

In this role, you will support the development, coordination and delivery of education programs, including e-learning content, learning platforms, program administration, financial coordination, reporting, and quality improvement activities. You will work closely with Educator Leads and the Manager, Education Hub, playing a key role in ensuring the smooth operation and continual improvement of education services.

 

Key responsibilities

  • Provide high-level administrative support to the Education Hub, including preparation of materials for education programs

  • Maintain, update and promote education programs via content and learning management systems

  • Coordinate the development, testing and maintenance of e-learning packages

  • Manage the team operations manual and shared inbox, responding to enquiries in a timely manner

  • Support the coordination of education activities, projects and events

  • Coordinate registrations for free and fee-paying programs and manage related financial processes

  • Maintain financial records, invoices and data to support budget tracking and reporting

  • Assist with data management, reporting, audits, research and program evaluation

  • Support quality improvement activities, accreditation processes and performance reporting

  • Provide guidance and support to educators in the use of learning platforms and content management systems

 

About you

You are a well-organised, detail-oriented administrator who enjoys working in a collaborative, fast-paced environment. You are confident working independently, managing competing priorities, and supporting multiple stakeholders.

You will bring:

  • Tertiary qualifications in a relevant field with industry experience, or at least two years’ experience in a similar role

  • Strong proficiency in Microsoft Office 365

  • Excellent organisational, time-management and communication skills

  • The ability to work collaboratively within an interprofessional team

  • A strong work ethic, discretion, and willingness to learn new systems and processes

 

Desirable experience:

  • Experience with learning management systems, content management systems, or e-learning tools

  • Experience with online survey tools (e.g. REDCap), event management platforms or electronic databases

  • Exposure to medical education, simulation, or healthcare education programs
